What is a metadata?
In Orbit Intelligence, metadata (or meta-data) are all the possible data, a user may add upon a family within the workfiles module. An non-exhaustive list is: Stars, Notes, User fields values, Attachements, storage path etc...
Most of document's data is indeed a copy from FAMPAT database, like the publication numbers, description, claims etc... However, Workfile module allows user to associate their own data with the documents. There are meta (above) data (copied from FAMPAT).
If you want export any of this metadata, you will find the related item into the export configuration - very bottom of the list:

A document with a note, will appear with a counter and a specific icon like :
Notes are visible once you have opened a document (click on title) - as the right-hand pane is folded by default when you display the hitlist / document list in Workfile module.
Any user able to read a family, could create and save notes. Only the creator or administrators of the pool, can modify or delete a note. A new note will appear always on the top, and will never overwrite or delete previous notes.
Notes are the best place to save your work of reading and understanding on a patent family. This text is available to anyone accessing the document, and may be use to run a search from the Workfiles module search.
Some clients make their teamwork of patent review, directly into the Notes, as you can read who, when, and what a user has reviewed this patent family.
Once you click on "Publish note", a basic text editor will appear:
We advise, for good shake of clarity and precision, to use the drop-down menu related to publication numbers while you are adding a note. This will avoid to indicate which description or claims you are using to make your comment, and avoid redundant reading of the same document.
To conclude, a good practice is to always add a comment on patent families you are reviewing, in particular if you add some stars on it. This allows your colleagues to know when you have red it, and your explanation of 3 stars for instance.

Any document taht has received stars (thus evaluated) will appear in the hitlist as:
Once a docuement is added into a workfile, it will appear without star - or an empty star as:
Then, any user may attribute from 1 to 5 stars to a document. In other words, the "vote" system scale is between 0 (no star) up to 5 (stars).
There is no limitation and restriction on who can vote / uses the stars. The last stars attributed on a document will overwrite the previous value.
The definition behind each value remains discretionary - for instance, 0 star means "not reviewed yet" and 5 stars "most relevant for this project".
Hence, we advise to use Stars notation in coordination with the Notes feature here above.
User fields values
As part of metadata, user fields are present in this article. However, please read our dedicated article to better know, how these fields are useful in your categorisation work.
Attachements
Orbit Intelligence may store some files, attached to a patent family or directly attached to a workfile.
To attach a file to a patent family, please use the related tab:
Some limitations to know:
- Files under 3MB (mega bytes) are allowed
- Other file than .docx, .csv, xlsx and .txt will see the content inside, indexed and available for a search in workfile module
To download a document, please make a right-click on it from the Attachement tab.
Batch attribution of values
If you want to add or replace the same kind of value on several documents at the same time, please use our dedicated tool from the hitlist toolbar:
Depending of the value you want to add, you will replace (stars or single value user field) or add another value (like notes or multi-value fields).
This process is synchronous: you have to keep this page open until the end of the processing. Any interuption may corrupt values on your documents.
